Which Outlook versions and accounts work with TemplateManager365

TemplateManager365 needs a Microsoft 365 work or school account and a supported version of Outlook. This page lists exactly what works, what does not, and why.

Most problems turn out to be a compatibility question rather than a fault. Checking this page first will usually save you a support email.

You need a Microsoft 365 work or school account

TemplateManager365 signs in with a work or school Microsoft 365 account — the kind your employer or organisation gives you.

Personal Microsoft accounts do not work. That includes outlook.com, hotmail.com, live.com and msn.com addresses, and personal Microsoft 365 subscriptions. If you sign in with one you will see a message telling you to use a work or school account instead.

This is not a limitation we can lift. Templates are stored in your mailbox or in a Microsoft 365 group using the Microsoft Graph API, and the folder and group features it depends on only exist in Microsoft 365 business and enterprise plans.

Your Outlook needs to support Microsoft’s Mailbox requirement set 1.6. Every current subscription version of Outlook does. Older perpetual licences of Outlook, sold as a one-off purchase rather than as part of Microsoft 365, generally do not.

Templates are stored in your Microsoft 365 account rather than on your computer, so a template saved on one supported client is available on all the others as soon as you sign in.

Where the add-in appears

TemplateManager365 is a compose add-in. It appears when you are writing an email, not when you are reading one, and not in Calendar or other Outlook areas.

  • New Outlook and Outlook on the web — start a new email, then open the Apps menu in the message window.
  • Classic Outlook for Windows — start a new email and look for the TemplateManager365 button on the ribbon.

What is not supported

Shared and delegated mailboxes

The add-in works with the mailbox you are signed in as. It does not appear when you open a shared mailbox or a mailbox you have delegate access to, and templates saved in your own mailbox are not available while composing from a shared one.

Calendar appointments and meetings

Templates apply to email messages only. The add-in does not appear when creating a meeting or appointment.

Outlook mobile

Outlook for iOS and Android does not support this kind of add-in, so TemplateManager365 is not available there. Templates you save remain in your account and are available again on a supported client.

On-premises Exchange

TemplateManager365 requires Exchange Online as part of Microsoft 365. Mailboxes hosted on an on-premises Exchange server, including Exchange 2016 and 2019, are not supported.

Virtual desktops, terminal servers and locked-down networks

The add-in generally works in Azure Virtual Desktop, Citrix and Remote Desktop environments, because it runs inside Outlook like any other add-in. Two things commonly get in the way:

  • The environment needs a working Microsoft Edge WebView2 runtime for classic Outlook.
  • Outbound access is required to www.templatemanager365.com and to Microsoft Graph. The exact list is in TemplateManager365 Permissions.

Narrowing down a problem

If something still does not work, these five questions usually identify the cause:

  1. Which Outlook is it — new or classic Outlook for Windows, Outlook on the web, or Mac?
  2. Is the account a work or school account?
  3. Are you composing from your own mailbox or a shared one?
  4. Are you using the Mailbox Store or the Group Store?
  5. Does the same thing happen in Outlook on the web?
